PSB Boisjoli is currently seeking an Office Manager to work closely with the Director of Operations and Vice President – HR in order to keep our office organized by supporting the needs of the office as well as its partners and staff. Being privy to confidential information, this person must exhibit discretion at all times.

Amongst other responsibilities, this individual will be responsible to plan and execute a wide range of duties related to the hiring process for his/her teams, maintain efficiency within the office by establishing the best policies, standards, and procedures as well as manage the day-to-day office life in a fast paced- environment.

Responsibilities
The qualifying candidate will perform the following, amongst others:

  • Oversee the Office Services Team and Administrative Assistants
  • Ensure that proper training is provided and processes are implemented
  • Develop, coach, and train team members towards professional and personal development
  • Conduct formal, written mid-year and annual performance reviews
  • Be an active member during peak seasons to ensure proper workflow and that all deadlines are met
  • Provide backup when workload builds up
  • Liaise with internal departments to ensure firm systems and procedures are applied
  • Maintain office safety and security
  • Responsible for building maintenance and cleanliness
  • Ensure that all onboarding and offboarding procedures are properly coordinated
  • Manage building access cards and parking “vignettes” for new hires and departing employees
  • Responsible for ensuring that warehouse is organized and a system is put into place (ie. archiving, shredding, location of files, etc.)
  • Active member of the Green Committee
  • Take Minutes of the Executive Committee meetings
  • Review vacation and overtime stats; meet with staff to off-set overtime hours and/or make necessary adjustments

Skills Requirements

  • Bilingual: Excellent written and spoken French and English
  • A minimum of 5 years’ experience in a similar managerial position (firm experience a must)
  • Degree in business administration
  • Proficient in Microsoft Word, Excel and Outlook; Caseware, an asset
  • Ability to deal with information, people and situations sensitively, tactfully and confidentially
  • Ability to clearly communicate at all levels of the organization
  • Possesses a strong sense of organization and priorities
  • Ability to work autonomously
  • Ability to work in a fast-paced environment and meet deadlines
  • Possesses a strong sense of initiative and attention to detail
  • Possesses excellent time management and organizational skills
  • Ability to prioritize workload and adhere to deadlines
  • Collaborative and team-focused
  • Flexibility to work additional hours during peak periods
